Connect your KPay terminal to Ukilu
KPay EFTPOS
This guide connects a KPay terminal to Ukilu so card sales go straight from the till to the terminal — the exact total, no retyping. It takes about five minutes, and you only do it once per terminal.
Before you start
- A KPay terminal supplied by KPay Australia — the KPay Terminal Pro (N950) or the KPay A920 — set up with your merchant account. Don't have one yet? See the KPay partner offer.
- The iPad with Ukilu, and the terminal, on the same Wi‑Fi network.
- Your staff PIN for Ukilu.
Ukilu adds your shop's KPay account details for you, so there is nothing to type. You never need the terminal's IP address either — the iPad finds the terminal on the Wi‑Fi by itself.
Step 1 — Set up the terminal
- Sign in on the KPay terminal.
- In the terminal's settings, turn on Connect to external POS system.
- Make sure Kiosk mode is off. Ukilu can't send sales to a terminal in Kiosk mode.
- Set the terminal's time zone to your city, so the time on printed receipts is right.
Step 2 — Join the same Wi‑Fi
Connect the terminal to the same Wi‑Fi network as the iPad. A guest network or a different router won't work — the iPad can only find the terminal on its own network.
Step 3 — Find the terminal in Ukilu
- On the iPad, go to More → Settings → Integrations & Add-ons.
- Under Card payments, tap KPay.
- Tap Set up this terminal, then Find my terminal.
- Pick your terminal from Found these terminals.
Step 4 — Save and test
Tap Save and test connection and wait for Connected. The terminal is signed in and ready to take a payment.
Step 5 — Use it for card payments
Back on the KPay screen, tap Use this terminal for card payments and enter your staff PIN. Card sales now go to KPay. If you also have another terminal set up, it stays paired, so you can switch back later without setting it up again.
Step 6 — Take a $1 test sale
- Go to Checkout, enter $1.00, choose Card and tap Charge.
- The terminal shows $1.00 straight away. Tap or insert a card.
- The sale closes in Ukilu by itself, and the KPay terminal prints the receipt.
- Refund the test sale (below).
Refunds
Open the sale in Reports and tap Refund via KPay. Enter the manager password set on the KPay terminal — not your Ukilu PIN. The full amount goes back on the terminal, and the sale is marked as refunded in Ukilu, with loyalty points and vouchers reversed.
Connecting again
Set the terminal up again if you change your Wi‑Fi or router, swap the terminal, or move Ukilu to another iPad:
- Go to More → Settings → Integrations & Add-ons → Card payments → KPay.
- Tap Set up again, then Find again.
- Tap Save and test connection.
To take a terminal off this iPad completely, use Forget this terminal.
If something goes wrong
- No KPay terminal answered on this Wi‑Fi — check the terminal is on, signed in, and on the same network as the iPad, then tap Search again.
- This shop's KPay account is not set up yet — sign out of Ukilu and back in to pick up your account details. If it still shows, email us and we'll add them.
- Terminal busy — you charged again right after a sale. Wait for the terminal to go back to its home screen, then charge again.
- A card sale didn't reach the terminal — the terminal has probably moved on the network. Open the KPay screen and tap Set up again → Save and test connection.
- The time on receipts is wrong — set the terminal's time zone to your city.
Tip: the iPad finds a terminal that has moved to a new address on its own, but asking whoever manages your router to give the terminal a fixed IP address is the most reliable set-up.
